Compass Counseling and Psychotherapy is a growing multi-state behavioral health practice dedicated to providing high-quality counseling, coaching, and support services. We are seeking an experienced, organized, and dependable professional to support our growing team and help ensure exceptional client service and operational excellence.
The Remote Administrative Assistant / Practice Operations Coordinator serves as a vital member of our administrative team. This individual will assist with scheduling, client communication, onboarding processes, provider support, hiring coordination, credentialing support, and day-to-day business operations.
This position is ideal for an experienced administrative professional who enjoys working independently, managing multiple priorities, and contributing to a mission-driven organization.

- Pay: $24–$30 per hour (depending on experience)

Duties
- Administrative support
- Calendar management
- Client communications
- Hiring coordination
- Onboarding paperwork
- EHR auditing and compliance tracking
- Billing support and follow-up
- Email management
- Spreadsheet tracking and reporting
- Experience coordinating and working within multiple software platforms, including Microsoft Office (particularly Excel), Google Workspace, Simple Practice EHR, CAQH, insurance portals, credentialing platforms, and other healthcare-related systems.
Requirements
- Previous administrative or executive assistant experience.
- Excellent written and verbal communication.
- Strong organizational skills.
- Ability to work independently.
- Experience supporting a healthcare, behavioral health, medical, legal, or other professional services practice is strongly preferred.
- Comfortable with multiple software platforms.
- High level of confidentiality.

Must be willing to complete HIPAA and confidentiality training.

Must maintain strict confidentiality and comply with all HIPAA and privacy regulations.
- Must have a secure home office environment with reliable internet access.
- Must be able to successfully complete onboarding requirements, including employment verification, reference checks, and a criminal background screening.
- Must be comfortable handling confidential client information and working within HIPAA-compliant systems and procedures.
